How to Choose the Right Online PDF Tool

Learn when to merge, split, compress, protect, unlock, convert, or organize PDF files online.

1

Start with the PDF task you actually need

The best PDF tool depends on the job. If you have several documents that belong together, use a PDF merge tool. If one large file contains only a few pages you need, use a PDF split or extract tool.

For email attachments, upload limits, or slow document sharing, use a PDF compressor. For sensitive files, use protect or unlock tools only when you have the right to modify the document.

2

Merge vs split vs compress

Merge combines multiple PDFs into one file — useful for applications, report bundles, and scanned page collections.

Split extracts selected pages from a longer PDF — useful when you only need one chapter, invoice, or form page.

Compress reduces file size — best for scanned or image-heavy PDFs before email or portal uploads. Text-only PDFs may not shrink much.

3

When to use convert or OCR tools

PDF to Word or Excel helps when you need editable text from a text-based PDF. Scanned PDFs usually need OCR first.

OCR extracts selectable text from scans and photos of documents. Expect to review output for layout and accuracy.

PDF to Image exports page snapshots for slides, thumbnails, or design workflows.

4

Check processing labels before uploading

DevToolKit labels tools as local, temporary server, or AI optional. Basic merge and split often run in your browser.

Editing, signing, heavy conversion, and OCR may use temporary server processing. Avoid confidential files unless you accept that workflow.

Read the privacy note on each tool page before uploading client, medical, or legal documents.

After merging, compress the result if you plan to email it. After splitting, protect the extract if it contains sensitive data.

Open the PDF Workspace to browse tools by task: organize, optimize, edit, convert, secure, and OCR.
